Generic importer
This page explains how the generic importer can be used to import data to your platform.
The generic importer allows you to import excel files or image files into the admin panel in bulk. This includes:
  • Users lists(Speakers, Moderators, Attendees, Exhibitors)
  • Program lists
  • Company lists
  • Poster lists
  • Call to Action lists
  • Networking table lists
  • Push notification lists
  • Image files

Excel Imports

Firstly, the VP excel templates or app-only templates should be filled out with the data that should get imported. When a document is ready to be imported, you can log-in to the admin panel and navigate to 'Settings' -> 'Import data' -> '+ New import' -> Excelsheet(s). Here. you can drag-and-drop your excel file:
After you then chose which type of data you would like to import, you will get taken to the 'Map columns' page:
An explanation for the various columns can be found in the table below:
Name
Explanation
Header
This is the name of the columns in your excel document (so the first row of your excel list). We recommend to leave the headers as they are in the templates to make sure the auto-mapping works (see section 'Let's Get Digital Property').
Preview information
Here you can see the first 3 rows of data that will be imported.
Mapped
A checkmark will appear here when a property is chosen here in the column 'Let's Get Digital Property'.
Import as
You can choose between 3 options: 1. 'Property': This column will be imported 2. 'Unique property': This column will be imported and the importer will check if the values entered here already exist in your admin panel: For example, external IDs selected as: 'Unique property': Scenario 1: No users exist with that external ID yet on the platform: New users will be created. Scenario 2: Users with (some of) the external IDs in your list already exist on the platform: The importer will not just update the existing users with the information provided (in case it's set accordingly in the 'Manage existing values' section of the importer, see below for more information).
Let's Get Digital Property
Here you can choose what property your column contains. The correct properties should automatically be selected. This is why we recommend to leave the headers as they are in the templates to make sure the auto-mapping works.
Manage existing values
Choose whether the the information should be overwritten. if you tick the 'Don't overwrite' box, then this specific property will not be overwritten when updating users that already have some value for this specific property.
Below this table, you will find three more options:

Date format
Choose your date format
Tag separator
Choose how you seperated multiple values in one cell, for example tags. Make sure that there is a space after your symbol of choice, e.g. 'Attendee, Student'
Ignore duplicate values
This ignores duplicate entries of unique columns. When disabled and there are two entities found with the same unique values it will stop the importer and ask you to remove the duplicate entry.
After all your columns are mapped, you can click on 'Submit, preview import. Nothing will be saved or changed on your platform, as this step is just a preview to see what the effects of this import would be. You will then be shown what your import would create if you confirm and any errors, if there are any. By scrolling down, you will also find an explanation of what the errors are and by clicking on the error link, you can see where exactly the errors occur. In the example below, the Email addresses are invalid:
You can then adjust your excel file accordingly and re-upload it. In case there are no errors, you can preview the import statistics:
If these results match your excel list, you can click on 'Confirm import' to save your changes to the admin panel.

Image importer

You can import images for users, program items and company logos. When importing images for users, it is important to name the PNG or JPG files exactly the same as the names or external IDs of the users, so that they will be linked automatically by the importer. Otherwise, you will need to link them manually. If you would like to import program item images or company logos, the names of the files should also match exactly to the company/program item names. When the images are ready to be imported, you can log-in to the admin panel and navigate to 'Settings' -> 'Import data' -> '+ New import' -> Image(s). Here. you can drag-and-drop your images and then scroll through to check that all the images have been linked correctly or link them manually:
Afterwards, you can scroll down and press on the 'Finalize' button to save the images to the admin panel.

Import overview

In the import overview, you can see which user has completed which import. You can also remove incomplete imports or continue from where they were left off by clicking on the button next to it:
